Privacy policy

Last updated 31 October 2026. Written to follow Canada's Personal Information Protection and Electronic Documents Act (PIPEDA).

In short

This site sets no cookies of its own, runs no analytics and no advertising, and loads no tracking scripts. The only personal information it collects is what a visitor chooses to send through the room-request form or by email.

What the form collects and why

The room-request form collects a name, an email address, an optional phone number, the number of guests, arrival and departure dates, a room preference, the reason for the stay, free-text notes, the consent tick and the page the form was sent from. These details are used for one purpose: to answer the request, which means checking availability and price with the hotel's reservations team or a booking partner and replying to the sender. With the sender's consent given in the form, the details needed for that check, such as dates, number of guests, room preference and name, may be shared with the hotel or the booking partner. They are not sold, and they are not used for marketing lists.

When the form is sent, the server also records the time, the IP address and the browser identification of the request, to prevent abuse and repeated automated submissions.

Where it is stored

The website runs on a server rented from DigitalOcean in Toronto, Canada, and is delivered through Cloudflare, which processes visitors' IP addresses in order to deliver pages and protect the site. Form submissions are stored on that server and passed to the desk's internal system; emails to hello@whitecapdunesreview.com are forwarded by Cloudflare Email Routing to the desk's mailbox. Some of these service providers may process data outside Canada.

How long it is kept

Request details are kept for as long as needed to answer the request and handle any booking that follows, and for a reasonable period afterwards for record-keeping; they are then deleted. A sender can ask for deletion at any time.

Google Maps

On the home page, the map of the resort's location is a placeholder: nothing is loaded from Google unless the visitor presses the button. On the getting-here page, a Google map is embedded further down the page and loads from Google when it scrolls into view. In both cases Google receives the visitor's IP address and may set its own cookies, under Google's privacy policy. The links marked Open in Google Maps and the route links leave this site for Google's.

Your rights

Under PIPEDA, anyone may ask what personal information this site holds about them, ask for it to be corrected, and withdraw consent, which means the request will no longer be pursued and the details will be deleted. Requests go to hello@whitecapdunesreview.com. Concerns that are not resolved can be raised with the Office of the Privacy Commissioner of Canada: priv.gc.ca.

Children

The form is meant for adults arranging a stay. It should not be used by children under the age of majority.

Changes

If this policy changes, the new version will be posted here with a new date. Analytics or advertising will not be added without updating this page first.

Room request · Dakota Dunes Resort

Ask the desk to find a room at Dakota Dunes

The form goes to the room desk of this guide, not to the resort. The desk checks the dates against the hotel's reservations team or a booking partner and answers by email with what is available and what it costs. No card details are asked for here, and sending the form books nothing.

Thank you, the request has arrived. The desk will compare the dates with the hotel's availability and write back by email. Nothing has been booked or charged.
